How to Create Invoices When Working with Brands as an Influencer

Congrats! You snagged a brand sponsorship, crushed your deliverables & sent off your reporting. Now you’re staring at your inbox, waiting for that sweet payment to drop 🤑

But wait… have you sent an invoice yet?

If you're thinking, "Uh, what's an invoice & how do I even make one?" then don't worry, we’ve got you. This blog will walk you through creating professional invoices that ensure that you know how to invoice brands as a creator & that you get paid (on time!) for your hard work 💸

What is an invoice & why do you need one?

An invoice is your official "Hey, I did the work, now pay me" document. It details your services, how much you're owed, & how your client should pay you. More importantly, invoices are often contractually required to trigger payment. Without it, your client might not even process your payout.

Think of it as the final boss battle before getting your gold 💰

What should you include in your invoice?

Here’s the juicy part that you don’t want to miss! We’ll walk you step-by-step on the details that you need to include 👇

Step 1: Include both your & your client’s contact information on the invoice

Make sure that both parties know the details of who’s involved in the transaction.

For you:

🌵 Full Name or Business Name

🌵 Billing Address

🌵 Email

🌵 Phone Number (optional)

For your client:

🌵  Company Name

🌵  Contact Person

🌵  Billing Address

🌵  Email

Step 2: Include a description of your services provided on the invoice

🌵  Campaign name & date duration

🌵  Deliverables completed

🌵  Your agreed rate & VAT (if applicable)

For example, this could look something like:

👉 15 January to 17th January 2025 - Awesome Game - Launch Campaign

👉 1x Twitch Stream & 2x Instagram Stories

👉 Rate @ $1,000

Step 3: Include your payment details on the invoice so they can pay you!

What’s the best way to pay you & how? Be specific! Include:

🌵  Preferred payment method: e.g.,  PayPal, Bank Transfer, Venmo, etc.

🌵  The necessary account details for your payment method: e.g., your PayPal email, Bank Account details, IBAN & SWIFT, Venmo username etc. 

🌵  Currency type: e.g., USD, GBP, EUR.

💡 Pro Tip: International clients may require different details, so clarify this early. Don’t let currency conversions eat into your pay!

Step 4: Include your payment terms on the invoice

Payment terms reduce the risk of delayed payments & are usually agreed upon when signing your contract, so double-check beforehand to ensure you’re sticking to what you signed! Common terms include:

🌵 Net 30: this means payment is due 30 days after the invoice date

🌵 Due on receipt: this means payment is due as soon as they receive your invoice

Step 5: Include your invoice date & invoice number

Remember in the last step that Net 30 means payment 30 days after the invoice date? Well, if you don’t include your invoice date, then it’s a big loophole to avoid paying you 😬

🌵 Invoice Date: The day you send the invoice

🌵 Invoice Number: This isn’t a mysterious number you need to source from somewhere; it’s your unique tracking code! If it’s your first invoice, then start from #001 & increase from there.

For example: Invoice #005 | Date: 01/15/2025

What should your invoice look like?

Looks DON’T matter as long as all the information above on the invoice is correct & laid out clearly for your client to understand. But if you want to add a touch of ✨ personality ✨, go for it!
